Policy at a Glance
This policy combines three connected areas while keeping
each one clearly separated. Project-specific agreements
may add or change terms for an individual publication.
When a signed project agreement conflicts with these
general terms, the signed agreement takes priority.
General Terms
Submissions, responsibilities, editorial decisions,
rights, fees, timelines, corrections, and withdrawal.
Responsible AI Use
AI may assist the work while originality,
checking, ethics, disclosure, and final
responsibility remain human.
Privacy Policy
How personal information is handled across
publishing, website, sales, and partnership activities.
How acceptance works
By submitting material, joining a project,
purchasing or downloading a product, or using
a service that clearly links to this policy:
-
You agree to Part I, General Terms and Conditions,
and Part II, Responsible AI Use Policy.
-
You acknowledge Part III, Privacy Policy,
which explains how personal information is handled.
-
Separate consent will be requested where required,
for example for optional marketing, public photographs,
or a child’s participation.
Core principle:
VOC Publishing asks for the minimum information needed,
applies standards proportionately, and communicates one
clear next step. Simplicity does not remove responsibility;
it makes responsibility understandable.
1. Scope
These terms apply to people and organizations
that contact VOC Publishing, submit an idea or
manuscript, contribute to an edited publication,
provide editorial or review services, enter a
publishing project, purchase or download a publication,
or use a VOC Publishing service or website feature.
They apply unless a written project agreement states otherwise.
2. Submissions and publishing decisions
-
Submitting an idea, proposal, chapter, manuscript,
or resource does not guarantee acceptance or publication.
-
VOC Publishing may accept, decline, hold, redirect,
or request revision after considering educational purpose,
intended readers, practical value, quality potential,
originality, rights, feasibility, and portfolio fit.
-
A submission does not reserve a publication date,
transfer rights, create exclusivity, or require
VOC Publishing to proceed.
-
Each accepted project will have written project terms
covering scope, responsibilities, rights, financial
arrangements, timeline, formats, distribution,
and approvals.
3. Author and contributor responsibilities
Authors, contributors, editors, creators, and authorized
representatives remain responsible for the material they provide.
They must:
-
Submit original work or material they are legally permitted
to use, and disclose previous publication or public sharing.
-
Check facts, quotations, references, data, names,
examples, instructions, and professional claims.
-
Obtain permissions, licenses, and consent for third-party
material, images, identifiable people, student work,
confidential information, or institutional content when required.
-
Protect privacy and confidentiality, disclose conflicts
of interest, and declare relevant AI use.
-
Meet agreed deadlines, respond to feedback,
review proofs carefully, and report any authorship,
rights, accuracy, or safeguarding concern promptly.
4. Editorial, review, and production
The editorial pathway will be proportionate to the publication.
It may include developmental editing, copyediting, specialist
or practitioner review, proofreading, design review,
accessibility checking, permissions checking, and final
production review.
-
VOC Publishing may request revisions needed for clarity,
accuracy, rights, ethics, accessibility, house style,
or production quality.
-
Author voice will be respected, but VOC Publishing retains
the final decision on whether a publication is ready
to carry its imprint.
-
Proof review is for correcting errors and confirming
completeness. Major rewriting at proof stage may change
the timeline or cost.
-
Labels such as peer reviewed, specialist reviewed,
practitioner reviewed, research-informed, or classroom
tested will be used only when the documented process
supports them.
5. Copyright and permission to publish
Copyright ownership and the rights granted to VOC Publishing
will be defined in each signed project agreement.
Authors generally retain copyright unless a lawful written
agreement expressly provides otherwise. No submission
alone transfers copyright or grants an exclusive licence.
The applicable agreement will specify the permitted uses,
formats, territories, languages, and duration.
-
Authors must comply with any exclusivity or withdrawal
commitments expressly agreed for their project.
-
Promotional use of excerpts, covers, contributor biographies,
and publication details will follow the applicable
publishing agreement and permissions.
-
Moral rights, attribution, reuse, translations,
adaptations, licensing, and open-access terms will be
handled according to the project agreement and applicable law.
6. Fees, royalties, sales, and promotion
-
Any author fee, optional service, royalty, revenue share,
contributor copy, discount, or other benefit will be
agreed in writing where applicable. Exact amounts,
calculations, tax treatment, and payment schedules
belong in the individual project agreement.
-
Where a call or invitation states that no contributor
fees are requested, VOC Publishing will not charge
a submission fee, processing fee, publication fee,
or required-purchase fee for that contribution.
-
VOC Publishing does not guarantee sales, rankings,
reviews, awards, invitations, income, or professional outcomes.
-
Retail pricing and customer purchases are governed by
the applicable product information, customer terms,
and mandatory consumer law. Project-specific royalties,
printing, distribution, and author payments follow
the signed publishing agreement.
6A. Consumer purchases, withdrawal, and refunds
Customers purchasing printed publications, ebooks, downloads,
or other VOC Publishing offerings receive the mandatory consumer
rights applicable to their purchase. Product-specific information
about prices, taxes, delivery, access, and any exceptions will be
presented before an order is placed.
-
Printed books and other physical goods.
For eligible online consumer purchases, a 14-day right of
withdrawal normally runs from receipt of the goods. Consumers
may withdraw without giving a reason. Applicable exceptions,
including certain genuinely personalised goods, remain subject
to the law.
-
Ebooks and immediately supplied digital content.
A statutory withdrawal right may be lost once supply begins
only if all applicable legal conditions are met, including
prior express consent, acknowledgment of the loss of the right,
and the required contractual confirmation on a durable medium.
Merely purchasing or downloading without those conditions does
not automatically remove consumer rights.
-
Returns and refunds. Where withdrawal is valid,
refunds are made within the statutory period using the original
payment method unless the customer expressly agrees to another
method without additional cost. For physical goods, VOC may
withhold reimbursement until the returned goods arrive or the
consumer provides evidence of sending them back, where permitted.
The rules for standard outbound delivery and return costs follow
applicable consumer law and the information given before purchase.
-
Faulty or non-conforming products. Statutory
remedies for defective physical goods and non-conforming digital
content apply independently of any change-of-mind withdrawal
right. No discretionary refund policy limits those remedies.
-
Additional goodwill refunds. VOC may review
other refund requests on reasonable grounds in accordance with
its general VOC policy. Any approved refund will normally be
returned to the original payment method. This discretion does
not replace or restrict statutory rights.
Requests about orders, returns, or refunds may be sent to
robert@voicesofchange.education.
A separate customer-facing order or return instruction may provide
additional practical details, including the return address.
7. Timelines, withdrawal, corrections, and ending a project
-
Timelines are targets unless described as fixed.
They may change because of revisions, permissions,
reviewer availability, production, printing, platforms,
or events beyond reasonable control.
-
A contributor who may miss a deadline should contact
the named person promptly. VOC Publishing may revise
the schedule, pause the project, or end participation
when delays become unworkable.
-
Withdrawal before acceptance is normally allowed.
Withdrawal after acceptance will follow the project agreement
and may require payment of approved work already completed.
-
VOC Publishing may correct, update, suspend,
or remove material when necessary for accuracy,
rights, privacy, safety, ethics, or legal compliance.
8. Conduct, confidentiality, and limits
-
All parties should communicate respectfully and protect
unpublished manuscripts, review comments, personal information,
and confidential project material.
-
Nothing in these terms excludes rights or liability
that cannot lawfully be excluded.
-
To the extent permitted by law, VOC Publishing is not
responsible for indirect loss or outcomes outside
its reasonable control.
-
Unless mandatory applicable law provides otherwise,
these public terms are governed by Polish law.
A signed project agreement may specify a dispute-resolution
process for that project. Mandatory consumer protections,
including applicable rights to seek redress, remain unaffected.
1. Acceptable support
VOC Publishing welcomes responsible use of generative AI
as an assistant. Depending on the project, AI may support
brainstorming, outlining, organization, language refinement,
accessibility, translation assistance, metadata,
design exploration, or other approved tasks.
2. Human responsibilities
Anyone using AI remains responsible for the final work.
Authors, contributors, editors, reviewers, designers,
translators, and staff must:
-
Protect original ideas and voice.
The publication must represent the named contributor’s
own insight, experience, argument, practice,
or creative contribution.
-
Review accuracy.
Check facts, data, references, quotations, names,
examples, and claims against reliable sources.
-
Monitor bias and representation.
Identify and correct stereotypes, omissions,
unfair assumptions, or contextually inappropriate language.
-
Assess ethics and rights.
Consider privacy, confidentiality, consent, copyright,
attribution, cultural sensitivity, and possible harm.
-
Disclose relevant use.
Follow the project’s AI declaration and include a
reader-facing statement when the role of AI should
reasonably be understood.
3. Uses that are not permitted
-
Crediting an AI system as an author, contributor,
reviewer, or rights holder.
-
Submitting fabricated references, invented quotations,
false data, fake case evidence, or unverified claims.
-
Entering confidential manuscripts, personal data,
student information, unpublished research, or protected
organizational material into an AI service without
authorization and suitable safeguards.
-
Using AI to impersonate a person, conceal plagiarism,
reproduce protected material unlawfully,
or create misleading synthetic media.
-
Submitting substantially AI-generated work without
the original human contribution, checking,
adaptation, and disclosure required by the project.
4. Visuals, translation, research, and data
-
AI-generated or AI-edited visuals must be declared,
lawfully created, and free from misleading representation
or unauthorized likenesses.
-
AI-assisted translation must be reviewed by a person
competent in the language and context.
-
AI may help locate or organize information,
but authors must read and verify the underlying sources.
An AI response is not a reference.
-
AI-generated data, simulated findings, or invented
classroom evidence must never be presented as real
research or practice.
5. Use by VOC Publishing
VOC Publishing may use approved AI tools for limited
administrative, editorial, accessibility, translation,
metadata, or design support.
Private submissions or personal data will not be entered
into an external AI tool unless the use is authorized,
necessary, proportionate, and supported by suitable privacy,
security, retention, and transfer arrangements.
Final acceptance, rejection, authorship, safeguarding,
rights, and complaint decisions will remain human decisions.
AI declaration:
Where requested, contributors should briefly state the tools
used, the tasks supported, the human checking completed,
and any material AI-generated content. Failure to disclose
significant or irresponsible AI use may lead to revision,
pause, rejection, correction, or termination.
1. International scope
This Privacy Policy is intended for an international audience.
VOC Publishing will handle personal information under the law
that applies to the person, activity, and organization.
This may include, where relevant, the EU General Data Protection
Regulation, the UK GDPR, California privacy law,
Canada’s PIPEDA, Singapore’s PDPA, Australia’s Privacy Act

Manage editorial review, contracts, permissions,
payments, production, distribution, launches,
and contributor recognition.
-
Provide purchases, downloads, events, newsletters,

Improve publications, services, accessibility,

on steps requested before a contract, performance of a contract,
legitimate interests, consent, legal obligations,
protection of rights, or another lawful basis appropriate
to the activity.
Consent can be withdrawn where consent is the basis,
although earlier lawful processing remains valid.
4. Who may receive information
-
VOC and VOC Publishing staff who need the information
for their role.
-
Editors, reviewers, proofreaders, translators,
designers, illustrators, researchers, and other
approved publishing collaborators.
-
Co-publishers, project partners, schools,
or organizations identified for a specific collaboration.
-
Cloud storage, email, forms, website hosting,
project management, payment, accounting, printing,
distribution, retail, delivery, event,
and communication providers.
-
Professional advisers, insurers, authorities, courts,
regulators, or rights holders when disclosure is
required or reasonably necessary.
VOC Publishing does not sell personal information for money.
If an activity is legally treated as a sale, sharing,
or targeted advertising in a person’s jurisdiction,
VOC Publishing will provide any notice and opt-out mechanism
required by law.
5. International transfers
Publishing and cloud services may process information
outside the country where a person lives.
When transfer rules apply, VOC Publishing will use
an appropriate safeguard, such as an adequacy decision,
approved contractual clauses, another recognized transfer
mechanism, or consent only where lawfully appropriate.
Additional information about the safeguard can be requested
from the privacy contact.
6. Retention
VOC Publishing retains personal information only for as long as necessary for the relevant publishing, contractual, legal, or administrative purpose. Retention periods vary by record type; information is securely deleted or anonymized when it is no longer needed, unless a legal obligation or justified claim requires longer retention.
| Record | Default period or criterion |
|---|
| Declined or withdrawn submissions | Ordinarily up to 12 months after the final decision or withdrawal to complete correspondence and address routine follow-up. Earlier deletion may be requested where applicable. Relevant records may be retained longer if a specific legal claim, rights dispute, or legal duty justifies it. |
| Accepted projects and editorial correspondence | For the duration of the project and thereafter only for the applicable contract, rights, dispute-resolution, or other justified purpose. Drafts and editorial working copies are reviewed for deletion once no longer necessary. |
| Contracts, copyright and permissions records | For the relevant contractual or licensing period and the applicable legal-claims period; essential publication ownership, authorship, license and permissions records may need to remain available while the publication is distributed and for a justified period afterward. |
| Accounting, invoices and transaction records | For the period required by Polish accounting and tax law, generally at least five years, calculated from the statutory reference date. Certain records may need longer retention where a tax matter, claim or other legal obligation remains open. |
| Published contributor and attribution records | For as long as necessary to identify contributors, administer publishing rights, maintain accurate attribution and support lawful distribution or archival records. Public-facing profiles are reviewed separately from essential rights records. |
| Marketing subscriptions | While the subscription or other lawful basis continues. Following an unsubscribe or withdrawal, only the minimal suppression or consent record needed to respect the request or demonstrate compliance is retained. |
| Website and security logs | For a period proportionate to security, troubleshooting and technical needs under an internal retention schedule; access and retention are limited to the relevant purpose. |
7. Security and data incidents
VOC Publishing applies a risk-based approach to protecting personal information and seeks to maintain appropriate technical and organizational controls, including limited user access, secure account administration, confidentiality obligations, and proportionate oversight of service providers. Specific measures, such as backup schedules, recovery arrangements, incident workflows and processor safeguards, are established and reviewed in VOC’s internal operating procedures; this notice does not guarantee any particular technology or absolute security.
No system is completely secure. People should avoid sending
highly sensitive information through ordinary email unless
a secure method has been agreed.
Suspected personal-data incidents are assessed and documented. Where legally required, VOC will notify the competent supervisory authority and affected individuals within the applicable legal time limits.
8. Your privacy rights
Depending on the law that applies,
a person may have the right to:
-
Know how information is used.
-
Correct inaccurate information, request deletion,
restrict or object to processing, or receive portable data.
-
Withdraw consent and unsubscribe from optional marketing.
-
Opt out of sale, sharing, or targeted advertising,
or limit certain uses of sensitive information where
local law provides these rights.
-
Request human review of certain automated decisions
and complain to a relevant privacy authority.
Requests should be sent to VOC Publishing,
and it may need to verify identity.
A request may be limited or refused where the law permits,
for example when information must be kept for contracts,
rights records, legal claims, freedom of expression,
public interest, or another lawful reason.
VOC Publishing will respond within the period required
by the applicable law and will not discriminate against
a person for exercising a legal privacy right.
9. Children and student contributors
VOC Publishing’s general services are intended mainly
for adults, but selected educational projects may include
people under 18.
VOC Publishing will minimize the information collected,
consider the child’s interests, and request parent or
guardian consent, school or teacher confirmation,
or other authorization when required.
Names, images, voices, school details, stories,
and student work will be published only with appropriate
consent and safeguards. Services directed to younger children
will follow any additional child-privacy rules that apply.
10. Cookies, marketing, and public profiles
-
Essential cookies may support security, forms,
downloads, shopping, preferences, or account sessions.
Non-essential analytics or advertising technologies
will use the notice and consent choices required
in the user’s location.
-
Service messages needed for a project, purchase,
event, or legal matter are different from optional marketing.
Marketing messages will include a way to unsubscribe.
-
With agreement, a publication or campaign may display
a contributor’s name, biography, photograph,
affiliation, acknowledgments, quotations,
and professional link. Complete removal may not be possible
after print or third-party distribution.
11. Questions, complaints, and policy updates
Privacy and publishing enquiries may be sent to robert@voicesofchange.education. Individuals may also lodge a complaint with the competent supervisory authority, including Poland’s Personal Data Protection Office (UODO) where applicable. The full registered identity and postal address of the data controller must be disclosed in VOC’s official legal/contact notice.
VOC Publishing may update this document when laws,
services, providers, or publishing practices change.
The effective date will be updated, and material changes
will be communicated when required.
